Isibani Development Partners is a South African-registered NGO, launched in 2011 to become a leading local technical assistance provider, systems strengthening and grants manager for health and social service in Southern Africa. Our programs focus is on HIV, TB, Non-Communicable diseases and Capacity development for community-based organization and government departments. Isibani seeks to appoint an Administrator (AGYW project) to be based in Empangeni – uMhlathuze Sub-District.

Job Overview: The Administrator will organize and coordinate administration duties and office procedures and leads in creating and maintaining a pleasant work environment, and ensuring high levels of organizational effectiveness, communication and safety

Key Performance Areas Include:

  • Provide administrative assistance to Project Manager
  • Data capturing and filing of beneficiary files
  • In collaboration with Finance officer, manage procurement for the organisation.
  • Liaise with service providers pertaining to organisational services
  • Manage staffing hours and leave allocations.
  • Assist project staff with logistics pertaining to AGYW activities and events.
  • Record keeping and digitization of key documents.
  • Maintain asset register.
  • Develop policies for the office as and when they become necessary
  • Maintain and update company databases
  • Organize a filing system for important and confidential company documents
  • Maintain a company calendar and schedule appointments
  • Book meeting rooms as required
  • Prepare reports and presentations with statistical data, as assigned
  • Assist with other admin related duties as they arise

Competencies

  • Excellent verbal and written communication skills in English. Command of local languages an added advantage.
  • Ability to take initiatives, work under pressure and multitask with minimum supervision.
  • Sound problem solving and decision-making skills; effective time management and coordination skills.
  • Competent in Microsoft Office suite and project management tools
  • Excellent written and verbal communication skills,
  • Interpersonal and organizational skills.
  • Ability to exercise good problem solving and to make decisions within defined procedures and practices to determine appropriate action.
  • Attention to detail and ability to effectively and efficiently perform multiple tasks and balance competing priorities.
  • Ability, to prioritize multiple assignments in an extremely fast-paced environment, to meet deadlines, to exercise good judgment and to effectively communicate with Management.
  • Be able to work independently and as part of a multidisciplinary team
  • Must be willing to learn

Essential qualifications and experience

  • Post-Matriculation qualification in Administration or equivalent
  •  1-2 years of administrative experience. Or an equivalent combination of education and applicable experience.
  • Experience in carrying administrative tasks including report writing and data capturing
  • Valid driver’s license and ability to drive an added advantage
