SUPERVISOR: Project Manager
Contract Duration: Fixed term contract ending 31 March 2022
Isibani Development Partners is a South African-registered NGO, launched in 2011 to become a leading local technical assistance provider, systems strengthening and grants manager for health and social service in Southern Africa. Our programs focus is on HIV, TB, Non-Communicable diseases and Capacity development for community-based organization and government departments. Isibani seeks to appoint an Administrator (AGYW project) to be based in Empangeni – uMhlathuze Sub-District.
Job Overview: The Administrator will organize and coordinate administration duties and office procedures and leads in creating and maintaining a pleasant work environment, and ensuring high levels of organizational effectiveness, communication and safety
Key Performance Areas Include:
- Provide administrative assistance to Project Manager
- Data capturing and filing of beneficiary files
- In collaboration with Finance officer, manage procurement for the organisation.
- Liaise with service providers pertaining to organisational services
- Manage staffing hours and leave allocations.
- Assist project staff with logistics pertaining to AGYW activities and events.
- Record keeping and digitization of key documents.
- Maintain asset register.
- Develop policies for the office as and when they become necessary
- Maintain and update company databases
- Organize a filing system for important and confidential company documents
- Maintain a company calendar and schedule appointments
- Book meeting rooms as required
- Prepare reports and presentations with statistical data, as assigned
- Assist with other admin related duties as they arise
Competencies
- Excellent verbal and written communication skills in English. Command of local languages an added advantage.
- Ability to take initiatives, work under pressure and multitask with minimum supervision.
- Sound problem solving and decision-making skills; effective time management and coordination skills.
- Competent in Microsoft Office suite and project management tools
- Excellent written and verbal communication skills,
- Interpersonal and organizational skills.
- Ability to exercise good problem solving and to make decisions within defined procedures and practices to determine appropriate action.
- Attention to detail and ability to effectively and efficiently perform multiple tasks and balance competing priorities.
- Ability, to prioritize multiple assignments in an extremely fast-paced environment, to meet deadlines, to exercise good judgment and to effectively communicate with Management.
- Be able to work independently and as part of a multidisciplinary team
- Must be willing to learn
Essential qualifications and experience
- Post-Matriculation qualification in Administration or equivalent
- 1-2 years of administrative experience. Or an equivalent combination of education and applicable experience.
- Experience in carrying administrative tasks including report writing and data capturing
- Valid driver’s license and ability to drive an added advantage
